Guest Relations Specialist - Ellicottville Location
This position is responsible for overseeing reservations, providing rental support, rental/tenant account tracking, vendor scheduling, and building strong, ongoing relationships with Team VP owners and tenants. Provide Agent support as needed. Assist marketing management in monitoring and executing brand management. Exceptional customer service and the desire to be part of a unified team.

ESSENTIAL RESPONSIBILITIES AND DUTIES:

  • Handle all aspects of making a reservation
  • Provide information on availability of rental options, rates and amenities
  • Visit rental properties on an ongoing basis to ensure top quality and service to Team VP owners and guests
  • Answer phones, route calls per instructions, take messages, forward calls to voice mail, cell phones and other offices
  • Check-in and check-out guests
  • Discuss owner questions, concerns and complaints; problem solve and resolve issues; document correspondence and other communications with owners
  • Work closely with Agents to further establish consistent communications between Rental and Sales teams
  • Assist in the coordination of housekeeping, maintenance, and office space needs and general duties
  • Assist in maintaining property databases and web interfaces for content and accuracy.
  • Performs other duties as assigned

QUALIFICATIONS

  • High School Diploma or equivalent required
  • Ability to manage high call volume
  • Must be outgoing and have intense passion to provide excellent customer service
  • Flexible schedule and must be able to work weekends
  • Valid Driver’s License, clean driving record and the availability of personal car for some work use is required
  • Must possess excellent verbal and written communication skills
  • Professional and have strong organization skills with the ability to multi-task
  • Desire to assist other team members and customers
  • Ability to utilize a computer and knowledge of computer functions (Microsoft Excel, Word, Outlook, Internet)
  • Must be able to pass a criminal background check and drug screening.

Housekeeper - Ellicottville Location
Our ideal candidate:
• Has experience cleaning in a professional capacity using commerical cleaners, tools and equipment.
• Performs routine cleaning duties including but not limited to deep cleaning, removing/cleaning/transporting bed linens, trash removal, etc.
• Has an eye for detail and the ability to look at a a rental properties cleanliness and condition from a guests perspective and address any issues accordingly.
• Is able to stay productive with minimal direct supervision and within outlined time guidelines without sacrificing cleanliness standards.
• Is able to work alone or with others as business levels dictate.
• Is able to have a flexible schedule including the ability to work weekends and holidays.
• Is dependable, has reliable transportation and is punctual.
• Can handle an 8 hour, physically involved work day.
• Will document damages and maintenance issues via correct channels.
• Will live and uphold ERA Team VP Core Values.
• Has a valid drivers license, clean driving record and able to use their personal vehicle to go from one location to another.
• Is able to pass a criminal background check and drug screen.

Houskeeping Manager - Chautauqua Location

The primary responsibility of this position is to oversee the housekeeping department for the Vacation Rental business in both the Chautauqua and Ellicottville destinations. Responsible for scheduling, inventory, lead a growing team, billing, budgeting and building strong, ongoing relationships with Team VP owners and tenants. Exceptional customer service, leadership, computer skills, and the desire to be part of a unified team.

• Provide supervision and strong leadership to housekeeping team to ensure properties are cleaned in a timely fashion and upholding the ERA Team VP cleaning standards
• Ability to train new team members to complete daily task
• Lead a successful housekeeping team with the support and direction of the Director of Vacation Rental Management and ERA Team VP Leadership team.
• Perform routine cleaning duties including but not limited to deep cleaning, removing/cleaning/transporting bed linens, trash removal, ect.
• Willingness to utilize own vehicle.
• Create daily assignments and checklists for the staff from high to low priority to be completed within the allocated time without compromising ERA Team VP cleaning standards.
• Monitor inventory supplies and communicate product needs to the Director of Vacation Rental Management and order once approved.
• Property Inspections to ensure quality control
• Document and report all maintenance issues and property damage within a timely fashion to appropriate team members.
• Lead by example within the office and properties.
• Provide HR duties with hiring, firing, write ups.
• Responding to owner/tenant requests promptly.
• Learn the reservation system and have a full understanding of weekly arrivals, assist in rentals as needed.
• Participate in yearly/monthly budget and expense control
• Establish and maintain a positive, productive work environment within the housekeeping department, rentals team, and ERA Team VP company
