ERA Team VP Vacation Rentals is pleased to offer superior vacation rental accommodations across the Southern Tier of Western New York State including rental properties located in: Chautauqua Institution, Chautauqua Lake, Lake Erie, and Ellicottville.

Chautauqua Institution Rental Properties provide a perfect setting for activities including recreation, culture and education. Chautauqua Lake Rental Properties and the communities surrounding the lake provide a haven for relaxation, recreation and fun. Ellicottville Rental Properties are located right in the Village of Ellicottville, near the ski slopes, or in the country. Ellicottville is known for Holiday Valley and HoliMont Ski Resorts.

Each of these locations in Western New York are year-round, four season destinations. No matter what your interests, you are sure to be able to find the perfect vacation setting to meet your needs, any time of the year!

Availability and Bookings

Unlike hotel accommodations, the availability of our rental properties is based on the schedules of the individual property owners. Overall availability in our rental system does change frequently throughout the year as the owners we represent provide us with updated occupancy schedules.

Although we receive many requests to "hold" properties, the volume of incoming rental inquiries prohibits us from doing so. We do, however, encourage you to take advantage of our live property calendars on our website and/or call us directly to check on availability.

Chautauqua Institution Rental Properties

From the last week in June to the last week in August all properties are based on a 7-night minimum stay. The rental week is Saturday - Saturday.

Chautauqua Lake or Lake Erie Rental Properties

From the Memorial Day to Labor Day all properties are based on a 7-night minimum stay. The rental week is Friday - Friday, although a few lake area properties may be available Saturday - Saturday.

Ellicottville Rental Properties

All properties are based on a 2-night minimum stay, except during holiday time, 3-night minimum stays may apply.

Deposits and Payments

To confirm your reservation, we will require a deposit, plus a non-refundable Administration fee. Payments may be made by check or credit card (Visa, MasterCard, or Discover), however a credit card must be on file with your reservation when paying by check.

Upon confirmation of your reservation you will receive a deposit confirmation letter via email, along with our Lease Agreement. You must sign and return this agreement within 14-days of confirmation.

Chautauqua, NY – Vacation Rental Reservations

Summer Season Reservations (Memorial Day to Labor Day) –Deposits are due within 14-days of booking or if booking after February 1, the deposit is due at time of booking. Initial deposits become non-refundable after February 1. Full and final payment is due by May 1 and is non-refundable. Spring/Fall/Winter or Holiday Reservations – the balance is due 30-days prior to arrival and is non-refundable.

Ellicottville, NY – Vacation Rental Reservations

Deposits are due at time of booking. Balance is due in full 30-days before arrival. All monies are non-refundable.

Pet Policy

Dogs only are allowed in designated Pet Friendly homes. NO EXCEPTIONS. There is a non-refundable $200 pet fee (per dog). Some properties restrict the number of dogs and/or the size or breed of dog permitted. Please inform the reservationist at the time of booking your reservation. Cats are not permitted in any ERA Team VP rental property! Any violation with pets will be cause for termination of tenancy with no refund and subjectivity to additional cleaning fees. 

Check-In/Check-Out

Chautauqua, NY Office

No Exceptions. Please plan your arrival and departure accordingly so that we may have the property cleaned and ready on time.

You will check in at our office located at 4478 West Lake Road (Route 394) in Chautauqua, NY (approximately 1 mile South of Chautauqua Institution). Here you will receive your keys to the property and a check-in packet with information about your rental property and our area. If you need to check in after normal office hours please call our office (800) 344-2198 and ask for lockbox instructions.
*Included with your confirmation letter and lease agreement will be driving directions to our office and instructions for checking in.

Early Check-In / Late Check-Out

A limited number of properties are available during the summer season for early check-in (1:00PM) or late check-out (12:00PM). Availability for this must be verified with our Housekeeping Manager and approved at least 2-weeks prior to your arrival/departure. A fee of $50.00 is due per request. Requests for this service must be made by calling our office (800) 344-2198 or emailing: rentals@teamvp.com.

Ellicottville, NY Office

Check-In: 3:00PM

Check-Out: 10:30AM

Here you will receive your keys to the property and a check-in packet with information about your rental property and our area. Early Check-In / Late Check-Out

Check-Out Procedure [Chautauqua, NY and Ellicottville, NY]

  1. Notify ERA Team VP of any Damage
  2. Place all trash in the outside receptacles and leave receptacles by the road for trash pick-up, or take to community dumpster (if applicable) from your rental property
  3. Straighten and return all furniture to its original configuration
  4. Remove debris and straighten all decks
  5. Leave all linens and towels in the home and all beds unmade
  6. Clean and put away all dishes including those in the dishwasher
  7. Clean all food out of the refrigerator
  8. Leave the refrigerator and freezer settings on medium
  9. Please turn off all small appliances such as coffee pot, blender, etc.
  10. Turn off all inside and outside lights
  11. Make sure all doors and windows are locked and secure
  12. In the summer time please leave the air conditioning (if applicable) at the instructed temperature found in your check-in packet
  13. In the winter time please leave the thermostat at the instructed temperature found in your check-in packet

*If your home requires extra cleaning because you left it in poor condition, you will be charged an additional cleaning fee. Any trash not left in the instructed area is subject to an additional trash removal fee.

 

Damages/Accidents to Rental Property

Leaseholder agrees to notify the Rental Agent as to any damages or accidents that occur to the premises, to both real property and personal property during your rental period. If the agent determines that no intentional or wanton or willful misconduct was done, the agent will repair/replace as needed up to $1500. Any damage or accident that exceeds $1500 will be the responsibility of the leaseholder.

Damages must be reported prior to check-out in order for the rental agency to repair/replace said damages. Otherwise, all damage costs will be the responsibility of the leaseholder.

All of our properties are NON-SMOKING. If we find that there has been smoking in the property an air quality fine of up to $1500 will be charged to the departing guest. Plus any other costs that may occur to clean-up the smoke damage in the home.

Maintenance and Cleaning

Every effort is made to have the home clean and all equipment in good working order. Even the newest or best-maintained equipment occasionally malfunctions. Any problems should be reported to ERA Team VP immediately so we can make arrangements to resolve them by calling (800) 344-2198. Repairs are corrected in a timely manner. We reserve the right, if necessary, for the maintenance staff to enter the home during business hours for repair, care, or management of the property. We will make every effort not to disrupt your vacation. REFUNDS WILL NOT BE ISSUED DUE TO MALFUNCTION IN EQUIPMENT OR OTHER GUEST DISSATISFCATION.

Mechanical Failure

We cannot guarantee appliances, heating and air conditioning, etc. and no refund or rate adjustment will be made for mechanical failure. We make every effort to keep everything in good working order. In case of breakdown, we will use our best efforts to resolve the matter as soon as possible. Tenant shall report all needed repairs or damage to ERA Team VP immediately. ERA Team VP will arrange all repairs. ERA Team VP and Owner reserve the right to enter the premises for repairs and inspections.

Chautauqua Institution – Rental Information

Purchasing Gate Passes/Parking Passes

Chautauqua Institution is a gated community. During the summer season (June – August) anyone entering the grounds of the Institution is required to purchase a gate pass. A parking pass must also be purchased by anyone staying on the grounds, whether the parking is private (on-site at the property) or in Chautauqua Institution’s Main Parking Lot. Guests without private parking are allowed to use a Baggage Pass to unload and load vehicles at their property, before parking them in the Main Lot. Gate passes and parking passes may be arranged through Chautauqua Institution prior to, or on the day of check-in. Parking

Guests staying at the NorthShore Townhomes, the Pines, and the Overlook condos are allotted one space of private parking, which must be purchased through Chautauqua Institution. This can be done in advance and/or on your day of arrival at the Main Gate. Parking spaces are reserved and numbered. The parking pass is to be displayed in the front window of the guest’s vehicle. Some of our private homes also have parking available. These passes also need to be purchased through Chautauqua.

Pools

There are two outdoor, heated swimming pools for NorthShore Townhome guests. The Pines also has one unheated, outdoor swimming pool. No one else is permitted to use the swimming pools unless it is specified in your lease description. All other guests may use the indoor swimming pool at the Turner Community Center. Call the Turner Community Center (716) 269-3436 for hours/fees.

Smoke Alarms

Guest acknowledges that he/she will report any malfunction in these items promptly to ERA Team VP and will hold ERA Team VP harmless if he/she has not done so.

Trash

For Chautauqua and Lake Erie properties, follow trash instructions provided in the Property Book placed inside your home. For Ellicottville properties, follow trash instructions provided within your check-in packet.

 

Hot Tub Guidelines

1. No children under the age of 16 years are permitted in the hot tub at anytime without adult supervision. 

2. DO NOT STAND ON THE HOT TUB COVER. Hot tub covers are for insulation purposes and are not designed to support a person or persons. The cover may break and you will be charged for replacement. Remember when not using the hot tub, leave cover on to maintain warmth. Secure cover on hot tub when not in use.

3. Hot tubs are sanitized and chemicals are replenished prior to your arrival; therefore, it may not be warm until later that evening.

4. Do not add anything to the water including foaming bubbles, chemicals, soaps, bath oils, etc. If these items are used in the hot tubs, an additional cleaning fee will be assessed.

5. NO CANDLES (floating or any type) are permitted on or in the hot tub.

6. NO SHOES are to be worn in the hot tub.

7. NO ELECTRONIC DEVICES should be used in or near the hot tub.

8. Never use a spa or hot tub while or after using alcohol. Alcohol acts to expand your blood vessels and increase your body temperature- much like soaking in hot water does. Alcohol in your bloodstream and soaking at the same time creates a combined effect that can be damaging. The body temperature may accelerate to dangerous levels quickly. The alcohol may cause nausea, dizziness or lightheadedness. The ultimate danger of combined alcohol consumption and hot water soaking is drowning due to loss of consciousness, heart attack or injury due to passing out and falling.

9. Never use a spa or hot tub while or after using narcotics or other drugs that may cause sleepiness, drowsiness or raise or lower blood pressure. With any drug or medication, consult with your doctor about potential harmful effects from combined use of the drug and hot water soaking. Never use a spa or hot tub if you are under the influence of drugs.

10. Elderly persons, expecting mothers, infants, and anyone subject to heart disease, diabetes, low or high blood pressure, strokes, epilepsy or similar afflictions should not enter a hot tub alone and without first consulting their physician.

11. ERA Team VP does not accept a ny responsibility for the use of this hot tub by any guest(s). 

12. When using the hot tub, remember there is a certain health risk associated with this facility. Use at your own risk.

*Overuse or abuse will also cause the tub water to turn cloudy and will render the tub unusable. If this occurs, the property manager are to be notified immediately as the tub will almost certainly have to be emptied and refilled, which will deny you the use of the use for at least 24-hours. Any abuse of the tub may result in an additional hot-tub charge. ERA Team VP nor the Property Owner takes responsibility for skin conditions that may arise from using the spa/hot tub.   

THE USE OF THE HOT TUB BY ANY MEMBER OF THE RENTAL GROUP, INCLUDING VISITORS, IS ENTIRELY AT THEIR OWN RISK.

 

Housekeeping Service (Requires Additional Fee)

Your rental period includes one departure clean. For Chautauqua rentals, if your stay length is longer than one week, ERA Team VP will include stayover cleanings in your rental rate. If additional cleanings are required, please contact ERA Team VP for scheduling.

Emergency After-Hours Phone Number

An emergency after-hours phone number will be supplied to guests at check-in and in pre-arrival information. Please utilize this number for emergencies only.

Lost and Found

ERA Team VP is not responsible for any items left behind. Please be sure to check thoroughly before departure. Any shipping that is required will be the responsibility of the guest.

Printing Errors

Every effort has been made to assure that our information and descriptions are accurate. However, information published, though deemed accurate, cannot be guaranteed and is subject to errors, omissions or withdrawal without notice. We reserve the right to correct such issues. ERA Team VP cannot be held responsible for changes made by owners in furnishings, equipment, and pricing or for printing errors.
